Activity 3: ICT Functions & Organizational Structure activity
Module 4: Strategic Planning & Vision Statements

time to finish this activity
45 Min

Overview & Instructor Notes

The purpose of this activity is to cause the participants to carefully consider their current organizational structure and human resources in relation to what will be needed to implement ICT in education in their country.

The chart provides some information about the types of functions that are required to implement ICT in education. Be sure and mention that this is not an exhaustive list and they should add any other functions that they can think of.

An important result of this activity is to find out if their current structures and manpower levels are sufficient. Typically it is not and it may become clear that only one or two people are performing all the functions required and this will not be sustainable. This is an important activity and participants must come to appreciate the size of the task ahead of them and be alert to the need to adequately staff so that the implementation can be successful.

This activity can take between 30-45 minutes to complete.

Activity

Objective

To identify different functions that need to be performed within in an organization with respect to ICT and delivering the new Education/ICT vision.

Instructions

  1. Individually review the various functions that have been introduced and explained prior to this activity. Add any required functions that are not.
  2. Draw an organization chart of your organization. When completed, go through the functions from the chart and put the number of each function beside the name (or job) on your organization chart where the function is currently being carried out. List any functions that aren't currently being done in a separate place on the organization chart.
  3. Circle all unnecessary functions on the chart.
  4. Assign the functions that aren't currently being done within your organization to existing people in the chart, create a new position to do the function or assign the function to an outside agency.
  5. If the full implementation of ICT indicates that system reorganization is necessary then a new chart may be created.
  6. Compare your charts with one or more other groups.
  7. Assess the feasibility of the new organization chart and workloads.
